For an imminent engagement, our client, Weerts Group is seeking an Executive Assistant - Office Manager to join our team in Luxembourg. The candidate will work closely with the Luxembourg team and support other teams across the Group. This role requires taking initiative and working in an organized, independent manner, with at least 5 years of professional experience in a similar position.


Key Activities & Responsibilities


Executive Assistant:

  • Provide day-to-day administrative support for the CEO and Executive Committee Members
  • Proactive calendar management
  • Organize travel schedules
  • Answer calls and direct them to the appropriate parties or take messages
  • Plan and organize internal and external meetings/lunches
  • Assist with the preparation and review of presentations, reports, and correspondence
  • Keep, prepare, and distribute meeting minutes
  • Provide high-level administrative support for the team
  • Manage travel schedules for the team
  • Handle projects in coordination with the CEO and the team


Office Manager:

  • Ensure that the infrastructure is maintained in excellent condition and that facilities are well-functioning
  • Prepare meeting rooms for appointments, coordinate schedules, and greet customers and clients
  • Oversee facilities-related activities that have been outsourced (cleaning, security, etc.)
  • Assist in the planning and coordination of interventions by 3rd party service providers (maintenance, repair, etc.)
  • Ensure follow-up and control the quality of the maintenance and housekeeping of the premises and work on office improvements
  • Manage stock supplies
  • Manage access to the building and parking
  • Support the review and renegotiation of facilities/office management related contracts


Desired Profile

  • Bachelor's degree
  • Minimum 3 years of relevant experience
  • Excellent organizational, multi-tasking, and time management skills
  • Accuracy, attention to detail, and hands-on approach
  • Ability to interact with high-profile people and executives
  • Very good collaboration skills and confidence in dealing with 3rd parties
  • Flexible and adaptable approach to work
  • Positive attitude, integrity & honesty, team player
  • Ability to take initiative and problem-solving mentality
  • Excellent written and verbal communication skills in French and English (Italian is a plus)
  • Good knowledge of Microsoft Office (e.g., Outlook, Excel, Word, PowerPoint)
