Our client, a European institution, is looking for an Administrative assistant who speaks english fluently. This is a temporary contract.
Accountabilities :
- Assisting with preparation, finalisation and distribution of documents, including letters, notes, NDA, briefing and PowerPoint presentations.
- Performing basic office tasks, such as filing, data entry, processing the emails and requests received.
- Calendar management and organisation of internal and external meetings or events, including online meetings (sending invitations, attendance tracking, room booking, dispatching of relevant documents and material).
- Responding appropriately to data/information requests from the Director, MC, VPs' offices and other governing bodies.
- Working in the organisation of the coordination's annual meeting (updating the members' contacts database, taking care of logistics, invitations, communication with members, website updates).
Qualifications :
- Secondary level education, complemented with, at least, a 2-year certification in a relevant field (e.g. secretarial studies, business administration).
- A minimum of 3 years of relevant professional experience, including planning and organisation of events, proof-reading/editing (in English), website coordination/management and more general administrative duties.
- Good knowledge of the standard office tools (Word, PowerPoint).
- Good Excel skills (ability to manage/manipulate data provided in pivot tables, etc.).
- Excellent knowledge of English is essential, good knowledge of French(*) and/or other EU languages would be an advantage.
