The Administrative Assistant is responsible for overseeing all activities related to the performance of the contract. Acting as the official point of contact for OSU (Organizational Support Unit), the Administrative Assistant ensures that the terms of the contract are fulfilled accurately and efficiently, maintaining compliance and high standards throughout the contract’s lifecycle.

Your tasks:

  • Manage and monitor contract performance to ensure compliance with agreed terms.
  • Act as the main contact for the OSU, facilitating effective communication and collaboration between all parties involved.
  • Address and resolve any contractual issues promptly to ensure smooth execution.
  • Prepare and provide regular reports on contract status, performance metrics and compliance.
  • Collaborate with internal teams and stakeholders to ensure that contractual obligations are met on time and to the customer's satisfaction.
  • Review and evaluate contract performance to identify areas for improvement or risk mitigation.
  • Preparation of schedules, various correspondence & monitoring of hours worked.
  • Preparation of invoices

Required Skills:

  • Excellent verbal and written communication: ability to communicate clearly, accurately, and professionally in all contract-related matters.
  • Strong interpersonal skills: capacity to build and maintain positive working relationships with internal teams, clients, and external stakeholders.
  • Attention to detail: ability to monitor contract performance with precision, ensuring adherence to requirements and high-quality standards.
  • Problem-solving skills: proficiency in identifying potential issues and providing timely, effective solutions.

Your profile:

  • Bachelor degree in administration, or related field.
  • Fluent in English & French.
  • Around 6 years of experience in a similar role.
