BIL's Project Portfolio Management & PMO is responsible for the successful and timely delivery of strategic, bank-wide Business and IT programs, projects, and studies.
BIL is seeking a junior Project Support Officer trainee that will help set up and support some strategic projects or programs. The trainee will also work as a PMO analyst trainee that will support the Enterprise Portfolio teams. The Enterprise Portfolio is leading and managing the Projects of BIL Group.
Using BILs overall Project Portfolio Management & PMO methodology, the candidate will run the project/program specific processes as well as the production of reporting, meeting management and notes from governance meetings.
During the internship the candidate will also have the opportunity to be an organizational and administrative asset for some Project Managers of the Enterprise Portfolios teams - Transversal Projects Team, Front Projects Team, Ops & IT Projects Team, Risk & Finance Projects Team.
Your next challenge:
- Work with key stakeholders and project/program managers to actively manage day to day activities, ensuring delivery accountability,
- Assist the project/program managers on the details of the required governance and reporting and act as the first point of contact for any project management queries within the project/program,
- Quickly set-up and maintain the structures and reporting for the project/program in line with BIL's overall Portfolio Governance and Project Management approach,
- Co-ordinate the creation of project/program budgets and manage the tracking and reporting of project/program spend,
- Manage the planning process for the project/program, if necessary, facilitate planning workshops and create plans,
- Manage and coordinate the project/program governance structure and meetings assisting the project/program manager in the preparation of materials, minutes, and actions,
- Keep the strategic reporting tool (Clarity) up to date with a current and accurate record of project/program plan and status,
- Make the link with BILs PMO for all operational aspects regarding reporting and portfolio management that arise from the project/program,
Your skills:
- Master in economy &/or Finance &/or Business Administration or equivalent
- Looking for a gap year internship ("césure") or End of studies internship - 6 months trainee
- Written and verbal communication (French and English). Fluency in another European language will be considered as an advantage
- Knowledge in Banking and insurance products, services and activities can be an asset
- Good knowledge in MS Office applications: Word, Excel, PowerPoint
- Strong organizational and problem-solving skill,
- Good interpersonal and communication (oral and written) skills at all levels,
- Ability to organize and present reports, proposals, and other related project/program data,
- Autonomy, transparency, and reliability,
- Ability to communicate financial results and analytics to non-finance people,
- Strong analysis skills,
- Strong focus on customer service and delivery,
- Adhere to best corporate practices (i.e., compliance, risk, identification…)
- No experience needed but a previous experience in banking industry, big four companies, or project support is an asset
